Privacy Policy
Last updated October 26, 2026
Haulflare is run by Onqix LLC ("we", "us"). This policy covers haulflare.com, our customer portal, our API and the emails we send. It explains what we collect, why, who helps us run the service, and the choices you have.
The short version
- We collect what we need to run your account: your email, the state you pick, and your plan.
- Payments go through Stripe. We never see or store your card number.
- We don't use advertising trackers or tracking cookies, and we don't sell your personal information. We count visits with cookie-free analytics.
- The carrier data in our product comes from public U.S. government records.
- Email [email protected] to see, fix or delete what we hold about you.
What we collect
When you sign up or sign in
Your email address and the state you choose. If you give them, your name and company. When you request a sign-in link we record the time and the IP address the request came from, to stop abuse. Sign-in links are stored only as a one-way hash and expire after 20 minutes.
When you subscribe
Stripe collects your payment details. We receive your name, email, the plan you chose, the states you entered at checkout, and Stripe's customer and subscription IDs. We don't receive or store full card numbers.
When you use the service
Which plan and states you're on, when your API key was last used, and the upgrades you clicked. API keys are stored only as a one-way hash. Our hosting provider keeps standard server logs, including IP addresses, for security and troubleshooting.
Cookies
We set one cookie when you sign in. It keeps you signed in for up to 30 days and is signed so it can't be forged. We don't use advertising, analytics or cross-site tracking cookies. To count visits we use Cloudflare Web Analytics, which sets no cookies and doesn't follow you across sites; it records the page viewed, the referring site, your browser and device type, and your country. Our pages load fonts from Google Fonts, which receives your IP address the way any web server does.
Emails
Links in our emails carry a token, so we can tell when someone opens their sample list or a checkout link from a particular email. When you reply to us, we keep your reply so we can answer it.
Business contacts we email first
We email insurance professionals about Haulflare. We find their business contact details in public insurance licensing records and through business contact data providers. We use them only to send a small number of business emails. Every one of those emails has an unsubscribe link. If you unsubscribe or ask us to stop, we add your address to a do-not-contact list and keep it there, so we don't email you again.
The carrier data in our product
Our lists are built from public records published by the Federal Motor Carrier Safety Administration (FMCSA) and other U.S. Department of Transportation sources. These include company names, addresses, officer names, and the phone numbers and emails carriers file with FMCSA. We add our own signals on top, such as estimated insurance deadlines. Haulflare is not affiliated with FMCSA or the U.S. Department of Transportation.
If you run a motor carrier and something we show is wrong, or you'd like your contact details left out of our lists, email [email protected] with your USDOT number. We'll correct or exclude the record. The source record stays public at FMCSA. To change it there, update your MCS-150 filing.
How we use information
- To run the service: sign you in, show your list, send the morning email you asked for, and serve the API.
- To bill you and handle your subscription.
- To answer your emails and support requests.
- To tell insurance professionals about Haulflare, as described above.
- To keep the service secure, prevent abuse, and meet legal obligations.
Who helps us run Haulflare
We share information with these providers only so they can do their part of the work:
- Railway: hosting and database.
- Cloudflare: DNS, security, content delivery and cookie-free visit counts.
- Stripe: payments and billing. For some purchases Stripe acts as the reseller or merchant of record.
- Resend: delivers sign-in links, the morning email and account emails.
- Zoho: hosts the mailbox we use for business email and replies.
- xAI: an AI service that helps us draft and sort business emails. We send it only the business contact details and messages needed for that task.
We may also disclose information if the law requires it, to protect our rights or users' safety, or as part of a merger or sale of the business. We don't sell your personal information. We don't share it for cross-context behavioral advertising.
How long we keep it
Account information is kept while your account is open, and for a reasonable time after that in case you come back. Billing records are kept as long as tax and accounting law requires. Do-not-contact entries are kept indefinitely, because that's how we make sure we never email you again.
Your choices and rights
- Emails: turn off the morning email in your account, or use the unsubscribe link in any email.
- Access, correction and deletion: email [email protected]. We'll reply within 45 days, and we may need to confirm it's you first.
- State privacy rights: if you live in California or another state with a consumer privacy law, you may have the right to know, correct and delete your personal information, and to opt out of its sale or sharing. We don't sell or share personal information as those laws define it. We won't treat you differently for using any of these rights.
Security
Traffic to our site is encrypted. Sign-in links and API keys are stored only as hashes, and access to our systems is limited. No service is perfectly secure. If we learn of a breach that affects you, we'll tell you as the law requires.
Children
Haulflare is a business service, not meant for anyone under 18. We don't knowingly collect information from children.
Where your information is kept
We're based in the United States, and your information is stored and processed there.
Changes
If we change this policy, we'll update the date at the top. If a change is significant, we'll also email account holders.
